Guest count is the number that moves everything
Most of a wedding budget is per-head. Catering, drinks, place settings, favours and often the venue itself all scale directly with attendance, which makes the guest list the single most powerful control you have.
Cutting twenty guests typically saves more than negotiating every supplier on the list, and it does so without compromising anything about the day itself. If the total above is higher than you want, the guest count is the first place to look and the last place most people look.
Why the average is a bad target
Published wedding averages are pulled upwards by a long tail of very expensive weddings, so the mean sits well above what a typical couple spends. Worse, the figures often come from suppliers and planning sites with an interest in a high number.
It is also the wrong question. The useful target is what you can pay for without borrowing, not what other people spent.
The costs that arrive late
Budgets overrun in predictable places, and almost all of them are things quoted separately from the headline package:
- Service charge and tax on catering and venue, which can add 20% or more and is often shown outside the quoted price.
- Supplier meals, where photographers, videographers and the band are usually fed at close to guest rates.
- Overtime, when the day runs long — hourly rates after the contracted finish are steep.

A contingency of 5–10% is not pessimism; it is the observed pattern.
Where the money is best spent
Couples asked afterwards tend to converge on the same answer: what people remember is the food, the drink and the music, plus whatever record exists of the day. Things noticed briefly or not at all — elaborate stationery, favours, extensive floral arrangements — are where budget is most easily reduced without anyone experiencing a worse day.
Timing is the other lever. The same venue and the same suppliers routinely cost substantially less on a Friday, in winter, or outside peak season, which buys a better version of everything else for the same total.
